How AubieOB collects, uses and manages customer information.
AubieOB Digital SolutionsHow AubieOB collects, uses and manages customer information.
Account verification and security
We send email verification and password-recovery codes to your account email address. Codes expire and can be used only for their intended purpose.
If you enable an authenticator, its setup secret is encrypted and recovery codes are stored as keyed hashes. New website sign-in sessions use an HttpOnly cookie. Changing your password or security settings can end previous sessions.
Gmail is used for company account-email delivery. Your email address and the message content are shared with the delivery provider to send the requested message.
Information we collect
We collect account details such as your name, email address, phone number, business name, billing information, support messages, uploaded support files, and records needed to deliver AubieOB services.
When you register a business workspace, we also collect business setup details including branch and location names, branding preferences, package choices, activation records, device records, invoices, payment notices, and product download activity.
Our website and systems may record technical information such as IP address, browser type, device information, session logs, security events, and usage activity needed to protect accounts and improve service reliability.
How we use your information
We use your information to create and manage customer accounts, deliver services, provision ERP workspaces, process invoices and subscriptions, provide product installers, respond to support tickets, and maintain secure access to our systems.
We may also use operational data to prevent fraud, investigate abuse, improve performance, communicate service changes, comply with legal duties, and keep accurate business records.
Payments and invoices
Payment details may be processed by approved payment providers such as PayChangu or through bank transfer instructions shown on invoices. AubieOB does not ask you to send card PINs, mobile money PINs, or banking passwords through support chat.
Invoices, payment notices, and transaction references are stored so that you can view billing history and so that our team can reconcile subscriptions and services.
Support chat and file uploads
Files you upload to support tickets are used only to understand and resolve your request. Do not upload passwords, private keys, PINs, or documents unrelated to the support matter.
Support conversations are stored with your customer account so you and the AubieOB team can continue the same issue later.
Sharing information
We share information only where necessary to operate the service, including hosting, payment processing, email delivery, security monitoring, professional advice, or legal compliance.
We do not sell customer personal data. When a third party helps us deliver the service, we expect them to protect the information and use it only for the agreed purpose.
Security and retention
We use account authentication, access controls, audit records, and operational safeguards to protect customer information. No online system is risk-free, so customers must keep passwords confidential and report suspicious activity quickly.
We retain information for as long as needed to provide services, support billing and warranty records, comply with law, resolve disputes, and maintain security records. Where information is no longer needed, we delete it or anonymize it where practical.
Your choices and rights
You may request access to your personal information, ask for corrections, request deletion where legally available, or ask us to explain how your data is being used.
Some information may need to be retained for legitimate business, tax, accounting, security, or legal reasons even after an account is closed.
